How to Record a Quality Check, NCR and CAPA
In short
Record inspections at Quality → Checks (against a GRN, job card or dispatch, result Pass / Fail / Conditional). For a failure raise an NCR at Production → NCR with severity and root cause, and track the fix as a CAPA at Quality → CAPA.
| Where | Quality → Checks, Production → NCR, Quality → CAPA |
|---|---|
| Steps | 4 |
Step by step
- 1
Record the check
Go to Quality → Checks → New Check. Choose the Checkpoint, Reference Type (GRN, Job Card or Dispatch) and Reference ID, the Item and Inspector, and the Result: Pass, Fail or Conditional, with passed and failed quantities. Click Create Check.
- 2
Raise an NCR if it failed
Go to Production → NCR → Report NCR. Enter Title, Description and Severity (Low to Critical), link the Related Quality Check, and add the affected item, quantity and lot number. Click Create NCR.
- 3
Record the cause and action
On the NCR fill Root Cause, Corrective Action and Preventive Action, and assign it.
- 4
Open a CAPA for lasting fixes
Go to Quality → CAPA → New CAPA. Enter Title, Description and Corrective Action (required), plus Root Cause, Preventive Action, Target Date and Assigned To. Click Create CAPA.
Good to know
- A failed check does not raise an NCR by itself — raise it from the NCR page.
Common questions
What can a quality check be recorded against?
A GRN (incoming material), a job card (in process) or a dispatch (before shipping). The result is Pass, Fail or Conditional, with passed and failed quantities.
Does a failed check raise an NCR automatically?
No. Raise the NCR from Production → NCR and link the related quality check, so the defect, quantity and lot are recorded with the inspection that found it.
When should I open a CAPA instead of only an NCR?
When the problem could happen again. The NCR deals with the batch; the CAPA finds the root cause and records the corrective and preventive action with an owner and target date.
