Step by step

  1. 1

    Open the item master

In the sidebar choose Masters → Items. The page is titled Item Master.

  2. 2

    Click Add Item

The New Item form opens with three tabs: Basic Details, Specifications and Stock Levels.

  3. 3

    Fill Basic Details

Enter Item Name, choose Item Type and Unit of Measure (UOM, default NOS) — these three are required — and add Description, Category, HSN Code, GST Rate (%) (default 18) and Standard Rate (₹).

  4. 4

    Add specifications

On the Specifications tab enter Grade/Quality, Thickness (mm) and Width (mm) where they apply, for example for sheet material.

  5. 5

    Set stock levels

On the Stock Levels tab enter Minimum Stock, Maximum Stock, Reorder Level and Reorder Quantity so shortages can be flagged.

  6. 6

    Save

Click Create Item. The item code is generated automatically and the item is ready for BOMs, requisitions and invoices.

Good to know

  • Item Type comes from Masters → Item Types. If the list is empty the form says so — add your types there first.

Common questions

Do I have to type an item code?

No. The code is generated when you click Create Item, using the prefix of the item type you chose and the next free number, so two people adding items at the same time do not get the same code.

Which fields are required to create an item?

Only Item Name, Item Type and Unit of Measure. HSN code, GST rate, specifications and stock levels are optional, but filling HSN and GST now saves correcting every invoice later.

What are Reorder Level and Reorder Quantity used for?

Reorder Level is the stock at which the item should be bought again; Reorder Quantity is how much to buy then. Set them for items you use steadily, such as consumables, so shortages show up before production stops.
