How to Approve Requests on the Approvals Page
In short
Click Approvals in the sidebar to see every request waiting for a decision — sales orders, quotations, purchase requisitions and BOMs. Open one, click Approve or Reject (a reason is required to reject), or tick several and use Approve Selected.
| Where | Approvals |
|---|---|
| Who can do it | The page is open to admin, sales, purchase, production, design and accounts. Only an admin can approve a sales order; quotations need an admin or a quotation approver. |
| Steps | 6 |
Step by step
- 1
Open Approvals
Click Approvals in the sidebar. The cards at the top count Pending Approvals, Sales Orders, Quotations and High Priority requests.
- 2
Filter the list
Use All Types to show only Sales Orders, Quotations, Requisitions or BOMs, and All Priority to show Urgent, High, Medium or Low requests.
- 3
Review a request
Click View Details to see the Type, Reference, Amount and Requested By. For a sales order the customer's PO / PI is shown so you can check the prices before approving.
- 4
Approve or reject
Click Approve, add optional remarks and confirm with Approve. To refuse, click Reject and enter the reason in Remarks — the Reject button stays disabled until you do.
- 5
Decide several at once
Tick the rows and click Approve Selected or Reject Selected; Clear Selection undoes the ticks. A sales order with no customer PO / PI attached is refused in bulk and must be approved on its own.
- 6
Check what was decided
Open the History tab. Approval History lists recently approved and rejected requests.
Good to know
- Purchase orders are not sent for approval when they are created — Create PO marks the order Sent and emails it to the vendor — so in normal use only sales orders, quotations, requisitions and BOMs arrive here.
Common questions
What arrives on the Approvals page?
Sales orders sent with Create & Send for Approval, every new quotation, purchase requisitions submitted for approval and BOMs submitted for approval. Each waits as Pending until someone with the right to decide approves or rejects it.
Who can approve a sales order or a quotation?
A sales order can be approved only by an administrator, because approving it starts the project. A quotation can be approved by an administrator or a user set up as a quotation approver; anyone else gets an error.
What happens when I reject a request?
You must give a reason, which is saved with the request. A rejected sales order, quotation or BOM goes back to Draft so it can be corrected and sent again; a rejected requisition is marked Rejected.
Why did bulk approval skip a sales order?
Approve Selected refuses a sales order that has no customer PO or PI attached. Open that order on its own, check the prices against the customer's document and approve it individually.
