A quotation tells a customer what you will supply, at what price and on what terms, before they place an order. A clear quotation — with item-wise rates, taxes, validity and delivery period — is quicker to approve and leaves less to argue about later.

What a good quotation shows

Quotation number and date, your details and the customer's, each item with specification, quantity, unit rate and amount, GST at the right rate, the total, how long the prices hold, the delivery period, and payment terms.

From quotation to order

When the customer accepts, their purchase order should match the quotation's items and prices. An ERP turns the accepted quotation into the sales order in one step, so the rates the customer agreed to are the ones invoiced.

Common questions

Questions people ask.

What is a quotation format?

A standard layout for offering goods or services: seller and buyer details, items with rates and amounts, taxes, total, validity and terms.

How do I write a quotation for a customer?

Fill in your business and the customer's details, list each item with quantity and rate, choose the GST rate, add validity and delivery period, then print or save it as PDF.

Is GST shown on a quotation?

Yes — show the applicable GST so the customer knows the full cost; tax is actually charged on the invoice.

How long should a quotation be valid?

Usually 15 to 30 days; shorter when material prices move quickly. State the date clearly.

Can I get the quotation format in Excel?

Yes — download the Excel template; amounts, GST and totals are calculated by formulas.
