Steps to pay PF online
1. Log in to the EPFO Unified Portal for employers with the establishment ID. 2. Prepare the ECR file for the wage month — each member's UAN, name, gross wages, EPF, EPS and EDLI wages, and the contributions — in the format the portal specifies. 3. Upload it under Payments → ECR/Return Filing and fix any validation errors. 4. Verify the summary and prepare the challan; a TRRN (Temporary Return Reference Number) is generated. 5. Pay the challan online through net banking. 6. Download the payment confirmation and keep it with the month's payroll.
What the challan contains
The employee's 12% and the employer's 12% of basic + DA. The employer share is split — 8.33% of wages up to the ₹25,000 ceiling (at most ₹2,083) to the pension scheme (EPS) and the rest to EPF — plus the employer's EDLI contribution and administrative charges, which appear as separate accounts on the challan.
Pay by the 15th of the month after the wage month. Late payment attracts interest and damages, and the employee's share deducted from salary but not deposited is treated seriously, so the deadline is worth keeping.
Getting the figures right
The ECR is only as accurate as payroll. In CRE8Rx ERP, each employee's UAN is stored on the employee record and payroll works out the PF deduction from the salary structure every month, so the month's PF totals come from the same run as the pay slips. The upload and payment are still done on the EPFO portal.
