Bin Card: Meaning, Format & vs Stores Ledger
Definition
A bin card is a record kept at each storage bin or rack by the storekeeper, showing the quantity of an item received, issued and in balance after every transaction. It records quantities only, not values.

Bin card format
Header: item code, description, unit, bin or rack location, maximum, minimum and reorder level. Columns: date, document number (GRN, issue slip, return note), received quantity, issued quantity, balance quantity, and remarks or initials.
Because the balance is updated at the bin, anyone can compare the card with the physical stock in seconds — the basis for a quick cycle count.
Bin card vs stores ledger
The bin card is kept by the storekeeper at the bin and shows quantity only; it is posted at the time of each movement. The stores ledger is kept by the costing or accounts department and shows quantity, rate and value; it is posted from the same documents, sometimes later. The two should agree on quantity — differences point to posting errors or stock loss.
In an ERP, the item's stock ledger by location replaces both: every GRN and issue updates quantity and value at once, and a barcode or QR label at the bin opens the same record on a phone.
Example
Bin R3-B2, M10 hex bolts (box of 100): opening 40 boxes; 3 Oct GRN-0218 received 60 → 100; 5 Oct issue slip IS-0442 issued 25 → 75; reorder level 30 boxes.

Frequently asked questions
Who maintains the bin card?
The storekeeper, at the bin or rack where the item is kept.
Does a bin card show the value of stock?
No, only quantities. Values are in the stores ledger.
What is the difference between bin card and stores ledger?
Bin card: storekeeper, quantity only, at the bin. Stores ledger: accounts, quantity and value, in the office.
Do we still need bin cards with an ERP?
Not on paper, if each bin's stock can be checked on the system or by scanning a label at the bin.
