Quick answer

A job work register records, challan by challan, the goods sent to each job worker, the quantity and date received back, the waste or scrap, and the balance still with the job worker. Under GST, inputs must come back within 1 year and capital goods within 3 years, or the despatch is treated as a supply; the movements are reported in ITC-04.

Key facts
Balance with job workerSent − Received back − Waste
Inputs must return within1 year
Capital goods within3 years
Reported inITC-04

When a manufacturer sends material out for machining, plating, powder coating or assembly, the goods leave on a delivery challan, not an invoice. GST lets that happen without tax, as long as the principal keeps track of what went out and brings it back in time — which is exactly what a job work register is for.

This Excel format works out the balance with each job worker and the return-by date from the challan date, and marks each line Open, Closed or Overdue.

What the register format contains

Challan number and date, job worker and GSTIN, goods sent with HSN, quantity, unit and value, the process, and then the date and quantity received back, waste or scrap, the balance with the job worker, the return-due date and a status. Add a row for each part-return against the same challan.

GST rules for goods sent on job work

Inputs sent to a job worker must be received back within one year, and capital goods within three years, of being sent out. If they are not, the original despatch is treated as a supply on the day it was sent, with tax and interest. The principal reports goods sent and received in form ITC-04 — half-yearly for turnover above ₹5 crore, yearly otherwise.

Waste and scrap generated at the job worker's premises may be sold from there, by the job worker if registered or by the principal; record it so the balance reconciles.

From a register to a system

The register depends on someone updating it when goods return, which is where most balances go wrong. Update it on the day goods come back, from the inward entry rather than from memory, and review the Open and Overdue lines every month — well before the one-year limit.

Common questions

Questions people ask.

What is a job work register?

A record of goods sent to job workers under challans and received back, with the waste and the balance still pending, kept by the principal manufacturer.

Within how many days must job work goods come back?

Inputs within 1 year and capital goods within 3 years of being sent; moulds, dies, jigs and tools are exempt from the time limit.

Which GST form reports job work?

ITC-04 — half-yearly for principals with turnover above ₹5 crore and yearly for others.

Is a delivery challan needed for job work?

Yes. Goods go to the job worker on a delivery challan, not a tax invoice; an e-way bill is needed where the value and distance require one.

What if job work goods are not returned in time?

The despatch is treated as a supply by the principal on the day the goods were sent out, so GST and interest become payable.

Doing this for every item, every day?

A calculator is the right tool once. When it is every item in the store, it belongs in the system that already knows the numbers.
